M-Files and Microsoft in strategic partnership that revolutionizes document management

M-Files, a leader in AI-based document management, and Microsoft announces that they have expanded their long-standing partnership, effective July 1, 2025. M-Files will now use Microsoft 365 and its API-based SharePoint Embedded¹ service to enable Microsoft 365’s native capabilities for content curated by M-Files AI. This includes agent-based experiences via Microsoft 365 Copilot and M-Files Aino². This deeper partnership represents a major step forward in how companies manage content.

The collaboration is the first of its kind. It gives both employees and IT departments a common, easy-to-use solution for saving, finding, and collaborating on documents. Many legacy document management systems don't work well with AI, fragment information flows, and require a lot of manual handling. With M-Files and Microsoft, users now have a central, secure, and flexible platform that helps them make decisions faster, work more efficiently, and reduce risk.

  • Confidence that generative AI results are based on accurate and relevant content: M-Files and Microsoft 365 deliver high-quality, carefully classified, business-critical content. Microsoft 365 Copilot works natively with content curated by M-Files AI, improving results and creating a solid foundation for broader use of generative AI.
  • Higher productivity thanks to built-in co-creation in Microsoft 365 for M-Files users: Customers can eliminate information silos and simplify user workflows in business processes – even when it comes to industry-specific content such as customer deliverables, technical product specifications, and asset management plans.
  • Unified security and compliance, with automated content and permissions management: Content managed in M-Files stays within the Microsoft 365 security framework and follows the organization's overall policies and governance principles via Microsoft Purview 3.
  • Better return on existing and future investments in Microsoft 365: For the first time, customers can choose a leading document management solution without having to deviate from Microsoft standards. By using M-Files as a ready-made solution for industry-specific needs, companies can avoid costly customizations and benefit from future innovations together with Microsoft.

Microsoft SharePoint Embedded is a new API-based and highly scalable content platform used by Microsoft Loop, Designer and Copilot Pages, among others. SharePoint Embedded has no own interface, which means that the M-Files user experience remains unchanged and all existing functionality is retained. Microsoft also offers the technology to customers and partners who want to create their own solutions with support for Microsoft 365 Copilot, collaborate, and comply – all within the customer’s protected Microsoft 365 environment.

M-Files Aino (“I know”) is the AI engine that powers M-Files. It uses agent-based and generative AI to organize information, automate daily work, and help users find knowledge and insights through natural language.

Microsoft Purview provides organizations with tools and solutions to govern, protect, and manage their data in Microsoft 365.
